New Pre-Entry Rules for HCMC Events

In order to reduce financial losses on events members at the AGM voted for a new set of pre-entry rules for events.  For each event the committee will decide on a minimum number of pre-entries required for the event to go ahead.  Entries can be sent prior to an event via mail,  and a future update to the website will ease the process of filling out event forms.  If the minimum number of pre-entries is not met, the event will be cancelled.  This will allow the club to claim refunds on permits etc. and prevent us from running events at a loss.

The committee does have the option of running an event even if the minimum number of entries are not met,  and such will be the case with events like Taupo where the track is booked and there is no financial benefit to cancelling the event regardless of competitor numbers.

Entry on the day will still be allowed,  however their may be a small increase to the entry fee in order to encourage pre-entry.

The club also voted for a minimum period of notice prior to each event,  and that all events be published in the preceeding club magazine.

Details of the minimum number of days notice of events, event cancellation and the late entry fee will be posted on the website when they have been confirmed by the committee.
